2. Who This Notice Applies To
This notice applies to young people, parents and carers, people making or receiving referrals, activity and event participants, customers, donors, supporters, volunteers, job applicants, professionals, partner organisations and visitors to our website.
3. Information We May Collect
Depending on how you use our services, we may collect:
- Names, dates of birth, addresses and contact details.
- Parent, carer and emergency-contact details.
- School, referral and professional-contact information.
- Health, disability, SEND, allergy, medication, dietary, wellbeing and support information.
- Safeguarding information and relevant risk assessments.
- Permissions, consent and collection arrangements.
- Activity, programme, mentoring, attendance and booking records.
- Payment, donation, order and transaction information.
- Feedback, surveys, outcomes and communications with us.
- Photographs, video or case-study information where appropriate permission has been obtained.
- Website information such as IP address, device details, cookies and how the site is used.
4. How We Obtain Information
We usually receive information directly from you through website forms, registration and consent forms, bookings, referrals, purchases, donations, emails, telephone calls, messages, surveys and face-to-face contact. We may also receive relevant information from a parent or carer, school, referring professional, funder, partner organisation or public body where there is a lawful reason to share it.
5. Why We Use Personal Information
We may use personal information to:
- Respond to enquiries and assess referrals.
- Register, book and safely support young people taking part.
- Provide mentoring, activities, programmes, trips and other services.
- Understand medical, accessibility, SEND, dietary and support needs.
- Manage safeguarding, welfare, emergencies and collection arrangements.
- Process payments, donations, orders and refunds.
- Communicate about a booking, referral, service or programme.
- Monitor attendance, quality, outcomes and the impact of our work.
- Meet funding, insurance, accounting, regulatory and legal requirements.
- Manage volunteers, recruitment, partnerships and organisational records.
- Keep our website, systems, staff and service users safe and secure.
6. Our Lawful Bases
We only use personal information when we have a lawful basis. Depending on the situation, this may be:
- Contract – to provide a booking, paid service, order or other arrangement you have requested.
- Legal obligation – to meet safeguarding, accounting, regulatory or other legal duties.
- Legitimate interests – to run and improve our charity, respond to enquiries, protect our services and understand our impact, where those interests do not override your rights.
- Consent – where we ask for a clear choice, such as certain photographs, publicity or optional communications.
- Vital interests – where using information is necessary to protect someone in an emergency.
Health, disability, SEND and other sensitive information receives additional protection. We only use this information where it is necessary and an additional legal condition applies, such as explicit consent, safeguarding, health or social-care purposes, substantial public interest or vital interests.
7. Children & Young People
Much of our work involves children and young people. We collect only the information we reasonably need to provide safe and appropriate support. We aim to explain how information is used in clear, age-appropriate language and involve a parent or carer where this is appropriate. Safeguarding concerns may need to be shared without consent when necessary to protect a child, young person or another person.
8. Payments, Donations & Purchases
Online payments may be processed by a secure payment provider such as Stripe. UTurn4Support does not normally receive or store full card details. The payment provider will use personal information under its own privacy terms. Website orders and account information may also be processed through our online shop systems.
9. Who We May Share Information With
We do not sell personal information. We may share only what is necessary with:
- Authorised UTurn4Support staff, volunteers and trustees on a need-to-know basis.
- Website hosting, form, email, IT, payment and other service providers working for us.
- Schools, referrers, delivery partners and relevant professionals where sharing is necessary and lawful.
- Funders and evaluators, normally using anonymous or aggregated information wherever possible.
- Accountants, auditors, insurers, regulators and professional advisers.
- Social care, police, emergency services or other authorities where required by law or necessary for safeguarding.
10. International Transfers
Some technology providers may process information outside the UK. Where this happens, we take reasonable steps to ensure an appropriate legal safeguard is in place, such as UK adequacy regulations or approved contractual protections.
11. How Long We Keep Information
We keep personal information only for as long as it is needed for the purpose it was collected and to meet safeguarding, legal, insurance, accounting, contractual and funding requirements. The period will depend on the type of record and the service involved. Financial records may need to be retained for at least six years. Safeguarding records may need to be kept for longer. When information is no longer required, it is securely deleted, destroyed or anonymised.
12. Security
We use appropriate organisational and technical measures to protect information against loss, misuse, unauthorised access, alteration or disclosure. Access is limited to people who need the information for their role. No online system can be guaranteed completely secure, so please contact us if you believe information has been sent to us incorrectly or may be at risk.
13. Website, Cookies & Embedded Content
Our website may use necessary cookies for security, forms, logins, baskets and user preferences. It may also use analytics or include content from services such as social-media or video platforms. Those services may collect information under their own privacy terms. Where consent is legally required for non-essential cookies, you can choose whether to accept them. You can also control cookies through your browser settings.
14. Photographs, Video & Communications
We will seek appropriate permission before using identifiable photographs, video, stories or case studies for publicity, unless another clear lawful basis applies. You can withdraw consent for future use by contacting us, although this will not affect use that was lawful before consent was withdrawn or material that has already been printed or distributed.
We will only send optional marketing or fundraising communications where we have a lawful basis to do so. You can ask us to stop at any time.

Depending on the circumstances, you may have the right to ask us to:
- Provide a copy of your personal information.
- Correct inaccurate or incomplete information.
- Delete information.
- Restrict how information is used.
